Onboarding Employee and customization - Customer Admin

Onboarding employees in WorQ is a smooth and easy process, it can be done only from the customer admin portal.


Onboarding employees can be done using Add employee option or bulk upload option available on the Organization section of the customer admin portal.


1. What does Regular upload and Custom upload mean?


Ans: A regular upload is an option that needs to be preferred for onboarding new employees into the portal, whereas a Custom upload is an option used to update any details for the existing employees eg. assign reporting managers, and change phone numbers.


(*Note: Before uploading employee details via bulk upload we highly recommend updating the details like Designation, Work Locations, and Functional structure, on the setup page for referring to the uploaded details in the reference sheet of the bulk upload template.)


(*Note: Template for regular upload and custom upload differs, we recommend users to check on the difference and upload properly. Attaching a sample template below for your reference.)

2. Can the admin download the employee dump from the portal if so where he can do it?


Ans: Yes, the admin can download the employee dump report from the company section by clicking on the "download report" button available on the customer admin portal near to Add employee button.

3. Can the admin reset the password or edit employee details for a specific employee from the admin portal without preferring bulk upload?


Ans: Yes, Admin can modify and reset the password for a specific employee from the "Add employee page" using the action button at the right corner of each employee onboarding.

4. Can we add additional fields for the onboarding process apart from the default fields mentioned on the WorQportal?


Ans: Yes, an additional field can be added using the Flexi fields option available on the setup page. Admin can create multiple fields and make changes at any time.


Navigation: Admin portal -> Setup -> Organisation Master -> Flexi Fields -> Employee -> Add New Fields.


(Note: Admin can add any fields even to Outlet(branch location) option if they prefer for Branch or outlet in the flex fields.

5. Can the admin upload designation details in bulk?


Ans: Yes, Admin can upload designation details on bulk cases and specifically as well using the Designation option available on the Setup ->Organization Master -> Designation.

6. Can the outlet or branch location be uploaded in bulk or can it be edited after uploading?


Ans: Yes, the bulk upload option is available for outlet upload as well, but they can edit any outlet specifically using the edit option but the admin cannot able to update outlet details in bulk like employee details.


Navigation: Setup -> Work Locations -> Manage Work Locations

7. Can the admin delete an employee profile available on the portal?


Ans: No, the Employee profile cannot be deleted once it is onboarded, employee profile can be made inactive to restrict them from accessing the application, this can be done via the Employee edit option or by using the custom upload method for bulk employees. if any employee details need to be deleted we recommend the admin raise a ticket to the Worq support team stating the reason for deletion.

8. Where can we find the Upload file status whether it is uploaded successfully or not?


Ans: Bulk uploaded status for all the features can be viewed using the upload stats option available in the "Home" section. Admin can click on the action button available on each uploaded file list and click on the view option to know whether the uploaded data has been uploaded successfully or not.

9. Can we get to know the reason for failure cases in bulk upload?


Ans: Yes, If the file details are not uploaded completely successfully, the status of the upload will be reflected as "Partially success" and if the complete data failed it will be stated as " All Failure" under the status bar.


If the status is either partially successful or all failure another option will be available under the Action button named," Failure File" where the admin can download the file and find the comment section available in the last column of the sheet to know the rejection or failure reason for the data.

10. Where can we find customer id details and what does customer id mean?


Ans: customer id is nothing but a unique identity code generated while creating a customer from the super admin portal, based on the customer id alone system under the required user controls and uploads the data.


Customer id can be found by clicking on the profile icon available in the top right corner of the customer admin portal.


(*Note: customer id will be mentioned only on "numerical values" without customer id major bulk upload process cannot proceed further.)
