Overtime - Customer Admin

In the Overtime feature, the employee's OT hours will be auto-captured by comparing the total working hours with the configuration in the OT policy. In this document, we can see the features available in the Overtime policy configuration.


Overtime policy can be configured in the below path


Admin -> Organization -> Attendance -> Overtime -> Create New Policy


1. Name of the Policy:


The name is just for the admin reference.


2. Shift Duration:


The OT hours will be calculated if the employee worked more than the hours configured in this field. The shift duration will be calculated based on these two options. One of these fields is mandatory.

  • Shift Duration of shift mapped to the employees - The OT will be calculated based on the shift timing assigned to the employee.
  • Custom shift duration - By selecting this, the admin has to specify the hours. If an employee worked more than the specified hours, then the OT will be considered.


3. Exclude break in calculating OT duration:


If this option is enabled, then the break time will be excluded from the OT hours calculation. Please note, this flag is applicable, only if the Break-in option is enabled in the attendance plan.


4. Enable OT request while check-out:


If this option is enabled, while check-out the employee will notified stating that "you have worked more than your working hours" and will ask "Do you wish to apply for overtime?". The OT will be considered only if the employee selects "Yes".


5. Enable OT request with Regularisation:


If this option is enabled, the regularized working hours will be considered in the OT calculation.


6. Manager can mark on-behalf OT:


If this option is enabled, the manager will have the option to mark on-behalf overtime for the reporting employees.


7. Compensate OT via:


The overtime can be compensated to the employee in 3 different ways

  • Paid Hours - The OT hours will be captured in the report and this can be taken to the payroll. The OT eligibility will be based on the configured hours in the field, "Minimum number of hours post shift duration to consider OT".


  • Comp Off - If an employee is eligible for OT, then the employee will awarded with 1 comp off balance. The OT eligibility will be based on the configured hours in the field, "Minimum duration to credit one Comp Off leave".


  • Either Paid Hours / Comp Off - The OT hours or Comp off will be credited based on the configured hours in the fields, "Minimum number of hours post shift duration to consider OT" and "Minimum duration to credit one Comp Off leave".

8. Approval required to consider OT:


The OT request will be sent to the manager's approval only if this option is enabled. Else it will be auto-approved.


9. Separate policy for Week Off:


If we need a separate policy for the week off days, then we have to enable it and configure the same.


10. Separate policy for Holiday:


If we need a separate policy for the company holiday days, then we have to enable it and configure the same.


11. Map Employee Groups:


This OT policy can be mapped to the specific employee groups based on the below criteria,


  • Work Location
  • Role Group
  • Department
  • Designation
